We charge for missed appointments.
All appointments that are rescheduled or cancelled with less than 24-hours advanced notice, and appointments missed without notice, will be charged for that appointment.
If your situation is too crazy to commit to scheduling 24 hours beforehand, you can book online up to one hour prior to the time you want, if there are slots available. And, please note that you can easily reschedule online anytime until 24 hours prior to your appointment. Within 24 hours of your appointment, please call us or email us to cancel or reschedule the appointment. We will then send you an invoice for the appointment that you missed or cancelled with insufficient notice. You can easily pay the appropriate amount online - we can send you an invoice or pay online (click here).
We really want you to get well, and this means we want you to schedule with us and return frequently. We also want to have appointment times that are available for people who want to come in, and late cancellations just make it harder for us and for anyone who had hoped to come in.
Arriving more than 10 minutes late to your appointment may mean that we have to reschedule you to another time or another date, and at that point we will will need to assess the missed appointment fees.
Clients who frequently cancel without adequate notice, or who do not pay for their missed appointments in a timely manner, will not be permitted to continue schedule online without making arrangements with the Clinic Director.
Any fees assessed to our clinic from checks that are returned due to insufficient funds must be promptly rectified, along with the original amount of the check.
We do not offer refunds for your treatment once service has been rendered.
If you think you were overcharged, please let us know right away. We will gladly refund any erroneous charges. Please allow a few days for the refund to show up in your account.
Our clinic makes every attempt to make alternative health care, in the form of acupuncture and Chinese medicine, available to as many people as possible, at the most affordable rates sustainable to our clinic. To keep our rates low, and to retain our ability to serve a wide population, we have the following policies:
**starting with treatments after March 15th, 2016
We are always happy to provide receipts for our services. If you need a statement for the purposes of your Flex Savings Account, Health Savings Account, tax purposes, or for your health insurer, we are happy to provide a record for any paid appointments in the past year.
If you ask us to customize your receipt, we may need to charge a fee for our time. If you need us to create it in a special format, or to include special insurance codes, we will need to charge an administrative fee, payable in advance.
Note: in the state of Virginia, acupuncturists are not allowed to diagnose using Western Medical diagnostic codes. If you need us to use CPT codes, you'll need to bring us the diagnosis from your MD on your medical records, with the CPT codes your MD used.
Health Savings Accounts/ Flexible Savings Accounts
Most people are able to use their HSA (Health Savings Accounts) and FSA (Flexible Savings Accounts) for acupuncture.
In order to charge our low and transparent fees, we are not currently accepting insurance for our services. We do not submit insurance claims on your behalf, nor are we affiliated with any provider network. We will provide you with a receipt.
We do not accept Workman's Comp.
